University of Surrey selects mobile solution from Advanced

CMISGo has managed over 15,000 teaching events and cut 260,000 paper documents

The University of Surrey has enhanced the learning experience for its 13,000 students and transformed campus-wide efficiency by rolling out CMISGo, a mobile timetabling and resource management solution from Advanced Learning (Advanced).

Advanced’s cloud-based solution, which has been specifically developed for use with mobile technologies, enables students and academic staff to view personalised course and exam timetables via smartphone, tablet and desktop devices. It has so far been used to manage more than 15,000 separate teaching events following its implementation in September 2014, improving collaboration across the university.

CMISGo has been integrated into Surrey’s existing CMIS management information system, also from Advanced, which is used to produce and publish timetables for approximately 400 course programmes.

Harri ap Rees, Deputy Registrar and Director of Student Administration, at The University of Surrey, says, “CMIS has helped us to provide online personalised timetables to students and academic staff requiring less administrative support to manage timetabling.

“Implementing CMISGo was the next logical step to further increase operational efficiency by enabling students and academics to get easier access to their teaching and examination timetables through mobile technology.”

Updates to course timetables, class reschedules or room changes can be communicated using CMISGo and automatically appear in the calendar on the user’s native device to minimise disruption to learning and teaching. As the solution is cloud-based, students can access their timetables at any time, wherever they are, helping to prevent missed attendance or late arrivals.

The system gives students all the information they need at their fingertips in keeping with young people’s expectations today.

“To date it has been used to successfully manage more than 15,000 teaching events and the feedback we have received has been very positive. Students have quicker access to their timetables in a much more accessible format, and when changes do happen, they are being notified much more seamlessly.”

The solution has also reduced administrative costs and boosted Surrey’s environmental sustainability goals by eliminating the need to produce paper-based timetable packs, cutting the circulation of approximately 260,000 documents each year.

Ap Rees adds, “Timetable packs could be up to 20 pages long in hard-copy format. They took an inordinate amount of time to produce without factoring in any changes to course schedules. CMISGo is supporting our drive to become paperless and has freed-up administrators to focus on more value-added activities.”

Following its success, the University of Surrey is considering rolling-out additional aspects of CMISGo’s functionality to enable smarter resource management. They include using the solution’s built-in SMS functionality to instantly send text messages to students and submit room and equipment booking requests in real-time directly from mobile devices.
