A shift to a focus on solutions rather than products is essential when choosing enterprise office workflow solutions, says Y Soft

Businesses looking to maintain competitive advantage should look at how a solutions-based approach can pay dividends

As enterprise office workflow and print management software becomes ever more important in helping businesses eliminate inefficiencies, organisations need to realise that focusing simply on products, rather than wider solutions, can limit their ability to be innovative in the long term. This is according to Y Soft Corporation, a leading enterprise office solution expert.

Historically, businesses searching for workflow and print management software have generally been limited to a specific product or service at a set price, with customers then expected to choose a product which best suits their needs. This is despite the fact that their selection might not be an ideal fit. With organisations under growing pressure to increase efficiency, such a commodity-based approach is becoming somewhat archaic.

Nick Parkes, Regional Sales Manager at Y Soft, commented: “The challenges organisations are facing are evolving by the day, so it’s important that the office workflow solutions they choose reflect this need for agility. Standalone products lack both the cost-effectiveness and flexibility required to meet the needs of many businesses.”

Recent research carried out by Quocirca, which assessed the global managed print services (MPS) landscape , found that 46 per cent of IT staff polled said that they are either considering changing their MPS provider at renewal, or have issues with their current provider that need to be resolved . This is indicative of a need for a more holistic, solution-based service which includes more than just an out-of-box product.

Parkes added: “Any organisation in any sector, private or public, has a greater need for efficient IT than ever before. The diverse nature of these organisations means that any office workflow solution should be flexible, scalable and adaptable to the needs of each particular client. Businesses have come to expect an all-round service to accompany the product they have purchased, which should encompass ongoing support, maintenance and a commitment to providing regular software updates. For this reason, organisations should give serious consideration to a move towards subscription-based models when selecting workflow software.”

He concluded: “In short, the focus for businesses should be on finding out the individual problems that need to be solved, and then adapting their procurement approach in order to satisfy these requirements. With this solution-based approach, organisations stand a much better chance of outstripping their competitors in terms of efficiency gains.”
